Summary:
Employee functions as a Clerk Typist II under the direction of a designated supervisor.
Provides clerical/office support following all assigned unit, agency and County policies and procedures.
Employees in this position are required to work in various platforms including Microsoft Office, State, Federal and local database systems.
ESSENTIAL FUNCTIONS AND
Responsibilities:
Routine typing, correspondence, filing, maintaining files per unit procedures, mail distribution, and collate material as needed for distribution Operate standard office equipment such as computer, fax machine, photo copier and telephone including but not limited to maintenance of clerical equipment, replacing cartridges, clearing jams, making minor repairs and adjustments and troubleshooting.
Acts as receptionist for the agency including greeting visitors, answering / transferring phone calls and relaying concise accurate messages in a professional and respectful manner, receive deliveries and notify recipient, maintain public reception area in a clean and orderly manner, and ensure that brochure racks are adequately stocked.
Responsible for handling routine calls and information request including providing responses, transferring to appropriate unit, and/or sending requested information to the caller/requestor.
Communicates with others outside of the agency as directed and per unit policies and procedures.
Responsible for communicating to designated staff office supply needs to maintain adequate supply, order office supplies as designated, ensure adequate supply of program materials (forms/ brochures/ complete packets).
Responsible for ensuring assigned data entry activity is not duplicative, data is entered accurately per policies and procedures, modify existing records as new/additional information becomes available (self-initiated or other directed), responsible to ensure data integrity of entries.
Generate reports as assigned and provide results as per activity workflow including but not limited to collating data and notice to other staff of data completion.
Prepares meeting agendas and minutes as directed.
Additional work/ special projects as assigned (newsletter formatting, invitation design).
Works cooperatively with other staff and assists other agency units as needed.
Responsible for planning, organizing and carrying out workload as assigned.
Maintain work area in a clean and orderly manner.
Responsible to maintain confidentiality of all consumer and staff information.
QUALIFICATIONS REQUIRED:

EDUCATION AND/OR
Experience:
High school diploma with a business curriculum that included at least one typing course; or any combination of equivalent experience and training; or Six (6) months as a Clerk Typist I with a typing skill of 25 wpm.
Knowledge of English grammar, spelling and punctuation and the ability to perform basic arithmetic calculations and the ability to understand and follow oral and written instructions.
Ability to compose straightforward informational correspondence.
Ability to organize work and develop effective work methods in an area that involves variable phases of different techniques and procedures.
